Meeting-to-Vault Pipeline

Overview

Every meeting generates decisions, commitments, and context. This feature automatically extracts decisions from your meeting transcripts, files them to your data room, and makes them searchable across your entire venture. When you need to remember what was agreed about pricing, technical architecture, or go-to-market strategy, you can search across all meetings instantly instead of reading through hours of notes.

Step-by-Step Guide

Finding decisions from past meetings:
  1. Navigate to Supa Sherpa (/supasherpa) or Data Room Detail (/dataroomdetail)
  2. Ask SupaSherpa: “What decisions have been made about pricing?” or use the decisions search
  3. Review results showing the decision text, which meeting it came from, who participated, and when it was made
  4. Click into a specific decision to see full meeting context and participant names
  5. If needed, your sherpa can mark outdated decisions as SUPERSEDED or REVOKED to keep the registry current
Reviewing meeting minutes in your data room:
  1. After a meeting completes, minutes are automatically filed to your data room under the MEETING_MINUTES category
  2. Open Data Room Detail (/dataroomdetail) for your job
  3. Filter documents by category: MEETING_MINUTES
  4. View meeting summaries, action items, and extracted decisions in one place
  5. All decisions from the minutes are automatically indexed for search
Linking decisions to your PRD:
  1. Your sherpa opens PRD Detail (/prddetail) for your product requirements
  2. When reviewing a PRD section, they can link relevant meeting decisions to provide context
  3. This traceability helps explain why specific requirements were chosen
  4. SupaSherpa can then reference meeting context when discussing PRD changes with you

Common Questions

What happens if a meeting has no decisions?
The meeting minutes are still filed to your data room, but no decision records are created. Action items and discussion notes remain available in the minutes document.
Can I see decisions from meetings that aren’t attached to a specific job?
Decisions from standalone meetings are extracted but not job-scoped. You can find them by searching for specific meeting IDs or asking SupaSherpa about general topics across all your meetings.
What if two meetings make contradictory decisions?
Both decisions remain active in the registry. Your sherpa should mark the older decision as SUPERSEDED and note the reason - this preserves the decision history while making it clear which agreement is current.
How long does it take for decisions to appear after a meeting?
Decisions are extracted and indexed within minutes after your meeting transcript is processed. You can search them immediately once the vault filing pipeline completes.
What happens when a meeting transcript is updated?
Old decisions are marked SUPERSEDED with the reason “Re-processed from updated transcript.” New decisions are extracted from the updated content, preserving the full history of what was discussed.

Troubleshooting

Issue: I can’t find a decision I know was discussed
Search uses keywords from the decision text. Try different terms - if the decision said “monthly subscription model,” search for “subscription” or “monthly” rather than “pricing tier.” If the decision text is very long, it may be truncated in the registry but the full text remains in the meeting minutes document.
Issue: Decisions show “processing” status but never complete
If vault filing fails (usually because no data room exists), decisions can still be extracted successfully. Check that your job has an active data room. The artifact status will show FAILED with an error message, but decisions remain searchable.
Issue: I see duplicate decisions from the same meeting
This can happen if a meeting was re-processed. The older versions should be marked SUPERSEDED. Filter your search to show only ACTIVE decisions to see the current set. Contact your sherpa if duplicates persist without superseded status.
Issue: A decision appears for a meeting I can’t access
You can only view decisions from meetings where you’re a participant (client, sherpa, or admin). If you see limited information, you may not have been listed as an attendee. Ask your sherpa to verify meeting participant records.
