Feature 026: Data Room (Project Vault)
Overview
The Data Room organizes all your venture documents, artifacts, and assets in one secure vault. Your specs, briefs, charters, and test results auto-populate as you ship - no manual filing. The system tracks readiness across investor-grade categories, flags gaps before they stall you, and lets you export directly to Notion or generate fundraising materials on demand.Step-by-Step Guide
- Access your Data Room - Navigate to Data Room List (/dataroomlist) from your dashboard. Each project automatically gets its own vault when you create it.
- Review auto-populated documents - Click into Data Room Detail (/dataroomdetail) for your project. Documents from your wizard sessions, brief reviews, and charter approvals appear automatically in their proper sections.
- Upload additional assets - Click “Add Document” in any section. Upload pitch decks, term sheets, or research files. The system categorizes them based on content analysis.
- Check readiness status - View the Gap Analysis tab to see which investor-ready sections are complete. Red flags show missing critical documents. Yellow indicates partial coverage.
- Generate AI summaries - Click “Generate Summary” to create investor-friendly overviews of each section. The AI pulls from all documents in that category.
- Export to Notion - Connect your Notion workspace via Settings. Select which sections to sync. The system creates a mirrored structure in your Notion database and keeps it updated.
- Create fundraising assets - Use “Generate GTM Assets” to produce one-pagers, executive summaries, or pitch materials from your vault content. Select the asset type and click Generate.
- Version control changes - When updating critical documents, the system saves previous versions. Click “Versions” on any document to restore or compare changes.
Common Questions
Q: What documents auto-populate into my Data Room?A: Confirmed briefs, approved charters, quality assessment reports, CVP scorecards, PRD documents, test results, and any artifacts from Sherpa reviews. Anything that hits “confirmed” or “approved” status flows in automatically. Q: Can I control who sees specific sections?
A: Yes. Each Data Room has permission levels. You control what collaborators, Sherpas, or external reviewers can access. Investor materials stay locked until you explicitly share them. Q: How does the Gap Analysis determine what’s missing?
A: The system benchmarks your vault against stage-appropriate readiness standards. Seed-stage ventures need customer validation evidence and early traction. Series A requires business model proof, unit economics, and go-to-market execution. The gaps reflect what investors expect at your current lifecycle stage. Q: What happens if I delete a document?
A: Deleted documents move to archive for 30 days before permanent removal. You can restore them from the archive if needed. Documents generated by the system (like quality reports) can be regenerated if deleted. Q: Can I organize documents into custom categories?
A: The system uses standard investor categories, but you can add custom tags and notes to documents. The AI Architect can reorganize sections based on your venture stage - click “Adapt Stage” to restructure for your current lifecycle position.
Troubleshooting
Issue: Documents aren’t auto-populating after approvalCheck the processing status indicator. If it shows “Processing,” the system is analyzing and categorizing the document. This typically takes 30-60 seconds. If stuck for more than 5 minutes, click “Reprocess Documents” to retry the ingestion. Issue: Notion export fails or shows errors
Verify your Notion integration is active under Settings. Click “Test Connection” to diagnose. If the token expired, re-authorize. Make sure you’ve granted Fiftyknots permission to create pages in the target Notion database. Issue: AI summary generates incomplete or inaccurate content
This happens when source documents in that section lack sufficient detail. Add more supporting documents or upload additional context. Click “Regenerate” after adding materials to get an updated summary. Issue: Gap Analysis shows missing items I’ve already uploaded
The system may not have categorized your upload correctly. Open the document, check its assigned category, and manually reassign if needed. Custom-named files sometimes need manual categorization before they count toward readiness.
