Data Room (Project Vault)

Overview

The Data Room builds a secure, AI-organized vault for all your venture documents - from investor decks to financial models to compliance records. As you upload files, the platform automatically categorizes them, identifies gaps in your documentation, and generates missing assets like pitch decks or one-pagers. Think of it as your digital due diligence room that’s always investor-ready.

Step-by-Step Guide

  1. Create Your Data Room - Navigate to the Data Room List page (/dataroomlist) and create a new data room for your project. Give it a clear name that reflects its purpose (e.g., “Series A Due Diligence” or “Customer Discovery Materials”).
  2. Upload Your Documents - Click into your data room to reach the Data Room Detail page (/dataroomdetail). Upload files directly or use the drag-and-drop interface. The system accepts pitch decks, financial models, business plans, legal documents, and any other venture-related files.
  3. Review AI Organization - After upload, the platform automatically analyzes and categorizes your documents into sections (investor materials, financials, legal, product specs, etc.). Check the AI summary to see how your materials are organized and what gaps exist.
  4. Generate Missing Assets - Use the gap analysis report to identify missing documents. Click “Generate Content” for any section where you need materials. The platform creates investor-ready assets based on your existing documentation and project data.
  5. Export to Notion - If you work in Notion, connect your workspace and push your organized data room directly to a Notion database. This keeps your team aligned with a single source of truth.
  6. Share with Stakeholders - Download specific documents or export the entire data room when you’re ready to share with investors, advisors, or partners. Track what’s been accessed through the stats dashboard.

Common Questions

What types of documents should I upload to my data room? Upload anything an investor or partner might request - pitch decks, financial projections, cap tables, business plans, product roadmaps, customer testimonials, legal formation docs, and IP documentation. The more complete your vault, the faster you can respond to due diligence requests. How does the AI know what documents I’m missing? The platform compares your uploads against standard venture documentation frameworks based on your stage (pre-seed, seed, Series A, etc.). It identifies gaps by analyzing what’s typically required for fundraising, partnerships, or customer validation at your level. Can I control who sees what in my data room? Yes. Each data room has access controls. You decide what documents to include when you export or share. The platform tracks document access and downloads so you know exactly what stakeholders have reviewed. What happens if I upload a new version of a document? The system maintains version history. When you upload an updated file with the same name or manually create a new version, it preserves the previous versions. You can compare versions, see what changed, and restore older copies if needed. Does the data room integrate with my existing tools? Currently, the data room syncs with Notion workspaces. Upload your documents to Fiftyknots, organize them with AI assistance, then push the structured data room to your Notion database for team collaboration.

Troubleshooting

My documents aren’t processing after upload Check the processing status in your data room. Large files or complex formats (especially scanned PDFs) may take longer. If a document shows an error, try re-uploading it or converting it to a standard format like PDF or DOCX. You can also trigger reprocessing from the data room detail page. The AI-generated content doesn’t match my vision Generated assets pull from your uploaded documents and project brief. If the output misses the mark, add more context documents to your data room or edit the generated content directly. The platform learns from your edits to improve future generations. I can’t find a document I uploaded last week Use the search function in your data room or check the document stats to see all uploaded files. Documents might be organized into sections you didn’t expect - review the AI categorization. If a document is truly missing, check your data room’s processing status for any failed uploads. Notion export isn’t working Verify your Notion integration status in the data room settings. You need to authorize Fiftyknots to access your Notion workspace and select a target database. If the connection was established but exports fail, refresh your Notion token and try again. Brief Review - Your enhanced brief feeds directly into data room content generation. A strong brief produces better AI-generated investor materials and product documentation. Update your brief when your positioning or strategy evolves, then regenerate data room assets to stay current. Charter - The venture charter document automatically saves to your data room once approved. This becomes a cornerstone asset for stakeholder alignment and can seed other generated materials like executive summaries or capability statements. Synthetic ICP - Test session scorecards and ICP validation reports can be banked directly to your data room as GTM assets. These proof points strengthen your investor materials by showing validated customer segments and messaging that converts.
