MCP-Powered Platform Transformation (Wave 1 Foundation)

Overview

Your AI agents - SupaSherpa, AI Product Manager, and Program Manager - now reach beyond the platform boundaries. They send emails, schedule meetings, and nudge you when momentum drops, without waiting for you to log in. This shift turns passive check-ins into proactive partnership. You get morning briefings, timely alerts when actions go stale, and celebrations when you hit streaks. Your sherpa becomes an active teammate who shows up when you need guidance, not just when you remember to ask.

Step-by-Step Guide

Receive Your First Morning Briefing

  1. Check your email inbox at 7:00 AM SAST - You’ll find a daily briefing from sherpa@acumen.zone with your momentum score, activity streak, top 3 highlights from recent work, and the single most important action to tackle today.
  2. Review your momentum weather state - The briefing displays your venture’s status as Summit Clear, Fair Weather, Cloud Cover, or Base Camp Fog, giving you an instant read on where you stand.
  3. Click “View in Platform” - The deep link takes you directly to the recommended action in the web platform, so you can act immediately without hunting through menus.
  4. Adjust delivery preferences - Navigate to your channel preferences (accessible from your profile menu) to change briefing delivery time, disable briefings on certain days, or set quiet hours when you don’t want notifications.

Configure Your Communication Channels

  1. Access channel preferences - From the main dashboard, click your profile icon and select “Channel Preferences” to open the configuration panel.
  2. Set your preferred channels - Choose how you want to receive different message types: SupaSherpa responses (WebSocket or email), daily briefings (email or WebSocket), momentum nudges (email, WebSocket, Slack, or WhatsApp), and urgent alerts (email or WebSocket).
  3. Define quiet hours - Set start and end times (like 22:00 to 07:00) when you don’t want proactive nudges delivered, and select your timezone to ensure timing aligns with your actual schedule.
  4. Enable or disable nudges - Toggle the nudge system on or off entirely if you prefer to check in manually rather than receive proactive outreach.
  5. Save your preferences - Click “Update Preferences” to apply your settings immediately. Changes take effect for the next scheduled worker run (within 2 hours for nudges, next morning for briefings).

Respond to a Momentum Drop Nudge

  1. Receive the nudge notification - When your momentum score drops below 40, you’ll get an email from sherpa@acumen.zone with the subject “Your momentum needs attention” and a detailed explanation of which areas declined.
  2. Review the suggested next steps - The nudge message includes 2-3 specific actions SupaSherpa recommends to rebuild momentum, tailored to your venture’s current stage and the areas showing decline.
  3. Click through to the platform - Use the “Check Your Dashboard” link to return to the web platform and see your full momentum breakdown with updated metrics.
  4. Take action within 12 hours - The system won’t send another momentum nudge for the same issue for 12 hours, giving you breathing room to respond without feeling spammed.

Enable Email-Based SupaSherpa Conversations

  1. Set email as preferred channel - In your channel preferences, change “Preferred Channel” from WebSocket to Email.
  2. Ask SupaSherpa a question - Type your question in the SupaSherpa chat interface on the web platform as usual.
  3. Check your inbox - Within 2 seconds, you’ll receive SupaSherpa’s response via email from sherpa@acumen.zone, formatted with the four-beats structure: Route (teal header showing your current stage), Position (where you are now), Cairn (your next milestone), and Win (encouragement).
  4. Continue the conversation - Reply directly to the sherpa’s email or return to the platform to ask follow-up questions. Each response maintains the four-beats structure for consistency.

Schedule a Meeting Through Your AI Team

  1. Request a meeting in chat - Tell SupaSherpa you need to schedule a meeting with specific stakeholders (like your co-founder or an advisor).
  2. SupaSherpa queries availability - The sherpa uses the Calendar MCP server to check when all participants are free, filtering to working hours (8:00-18:00) in each person’s timezone and excluding weekends.
  3. Review proposed time slots - SupaSherpa presents 3-5 available time windows and asks you to confirm your preference.
  4. Confirm the slot - Reply with your chosen time. SupaSherpa creates the calendar event on team@acumen.zone, sends invitations to all attendees, and confirms the booking with you.
  5. Receive calendar invitation - Check your email for the meeting invite with all details, attendees, and a calendar attachment you can accept directly.

Common Questions

Q: Will I get spammed with nudges if my momentum drops repeatedly?
A: No. The system enforces a 12-hour cooldown between nudges of the same type and limits you to maximum 3 nudges per day total. If you’re in quiet hours (which you define), nudges are held until your active hours begin.
Q: Can I turn off email delivery and just use the platform?
A: Yes. Set all your channel preferences to “WebSocket” and disable the nudge system entirely by toggling “Nudge Enabled” to off. You’ll only receive messages when you’re actively logged into the platform.
Q: What happens if I ignore a momentum drop nudge?
A: After 7 days of inactivity (no logins or meaningful actions), you’ll receive an INACTIVITY_WARNING nudge with a re-engagement message. If momentum stays low, the nudge engine continues checking every 2 hours but respects the 12-hour cooldown for each nudge type. You won’t be bombarded, but you will get consistent reminders.
Q: How does SupaSherpa know which email address to use for me?
A: SupaSherpa uses the email address from your channel preferences if you’ve set one. If not, it falls back to your primary email from your user profile. You can verify or update this in your profile settings.
Q: Can the AI agents actually send emails on their own, or do I need to approve each one?
A: For daily briefings and proactive nudges, AI agents send emails automatically without approval - that’s the point of making them proactive. For emails generated during direct conversations (like SupaSherpa responding to your question via email), those are also sent immediately. You control frequency through quiet hours, nudge toggles, and daily limits.

Troubleshooting

Email not arriving from sherpa@acumen.zone
Check your spam folder first. Add sherpa@acumen.zone, pm@acumen.zone, and program@acumen.zone to your safe senders list. If emails still don’t arrive, verify your email address is correct in your profile settings and that your channel preferences are set to “email” for the message type you’re expecting. Contact support if the issue persists after 24 hours.
Nudges arriving during quiet hours
Double-check that your quiet hours are saved correctly in channel preferences and that your timezone is set accurately. The system checks if the current hour is within your quiet window before delivering. If your quiet hours span midnight (like 22:00 to 07:00), the system handles the wrap-around correctly, so this should work. If nudges still break through, your preferences may not have saved - try updating them again.
Calendar meeting invitations not being created
SupaSherpa can only schedule meetings when the Calendar MCP server has access to all participants’ calendars. If one or more participants have private calendars, SupaSherpa will return slot suggestions based only on accessible calendars and note which participants couldn’t be checked. Ensure all stakeholders have granted calendar access to team@acumen.zone via Google Calendar sharing settings.
Momentum nudges repeating too frequently
The system should enforce 12-hour cooldowns between same-type nudges and a 3-nudge daily maximum. If you’re receiving more than 3 nudges in 24 hours or getting the same nudge type within 12 hours, check your nudge history in channel preferences to see timestamps. This indicates a configuration issue - contact support with your nudge history data to investigate.
SupaSherpa Chat Interface - The proactive nudge system and email delivery extend the core SupaSherpa experience. Visit the SupaSherpa page to configure response preferences, review your momentum score breakdown, and understand how the four-beats structure (Route, Position, Cairn, Win) guides every interaction. Channel preferences determine how SupaSherpa reaches you, but the chat interface remains the primary place to ask questions and receive strategic guidance. Dashboard and Momentum Tracking - Daily briefings and momentum drop nudges pull data directly from your dashboard metrics. Navigate to the Dashboard page to see real-time momentum score, activity streak visualization, and the detailed breakdown of factors contributing to your current weather state. Understanding these metrics helps you interpret why certain nudges trigger and what actions will rebuild momentum. Journey Progress and Lifecycle Stages - The nudge engine monitors your progress through journey stages and sub-stages to detect stale actions and celebrate milestone completions. Review your Journey Overview page to see which tasks are pending, which checkpoints are overdue (triggering ACTION_STALE nudges), and what’s required to advance to the next stage. Completing journey tasks directly impacts momentum score and reduces nudge frequency.
