Create projects in seconds, not minutes. Submit your idea as one sentence, upload existing documents, or forward an email - the platform extracts everything you need and builds a complete brief automatically. Manage multiple projects from a single dashboard, share upload links with colleagues who don’t have accounts, and start projects directly from WhatsApp. This cuts project setup time from 25 minutes to under 2 minutes.

2. Step-by-Step Guide

Quick-Start: One Sentence to Project
  1. Navigate to the Quick Start page (/quickstart) after logging in
  2. Type your project idea in the text field - minimum 10 characters, up to 2000 (e.g., “I need a chatbot for my e-commerce store that handles returns and exchanges”)
  3. Optionally drag and drop supporting documents - accepts PDF, DOCX, PPTX, XLSX, PNG, JPG up to 25MB each, max 5 files
  4. Click Submit - the platform generates a complete brief within 30 seconds using AI extraction
  5. Review the confirmation card showing extracted fields: title, description, goal, target audience category, and confidence scores (green for high confidence, amber for medium, red for low)
  6. Choose your next action:
    • Click Submit to create the project immediately and go to your dashboard
    • Click Edit in Wizard to refine fields in the full wizard interface
    • Click Add Files to upload more documents for richer extraction
  7. If the AI needs clarification, you’ll see a follow-up prompt like “Tell us a bit more - what kind of help do you need?” with another text input
Upload Link: Collect Documents from Others
  1. From your Job Dashboard (Narrative Dashboard for a specific project), click Get Upload Link
  2. Configure settings: expiry (1-30 days, default 7), max uploads (1-100, default 10)
  3. Copy the generated URL (format: {APP_URL}/upload/{token})
  4. Share the link with colleagues, advisors, or team members via email, chat, or any channel
  5. Recipients see a public upload page showing your project title with drag-and-drop file upload - no login required
  6. They upload files, optionally providing their name and email
  7. You receive a notification when files are uploaded: ” uploaded file(s) to your project”
  8. Uploaded documents process automatically through document farming and update your brief
  9. Review the updated brief on your dashboard - extracted fields merge with existing data
Email Forward: Project from Your Inbox
  1. Find a project-related email in your inbox (client request, RFP, opportunity)
  2. Forward the entire email to brief@acumen.zone from your registered email address
  3. The platform identifies you as the sender, parses the email subject, body, and attachments
  4. Within 5 minutes, you receive a confirmation reply: “Project created: [Title]. View and edit: [dashboard link]”
  5. Click the dashboard link to see your new project with fields extracted from the email and attachments
  6. The email subject becomes your initial project title - edit it on your dashboard if needed
  7. If you forward multiple emails within 5 minutes, they append as additional documents to the same project (not separate projects)
WhatsApp: Create Projects from Chat
  1. Open WhatsApp and message SupaSherpa (the platform’s WhatsApp assistant)
  2. Describe your project idea in natural language: “I want to build an AI assistant for my restaurant”
  3. SupaSherpa detects this as a new project request and switches to intake mode
  4. Answer 3-5 follow-up questions about your project: goal, target audience, timeline, budget, special requirements
  5. Send text replies, voice notes (automatically transcribed), or attach documents
  6. When enough information is collected, SupaSherpa sends a summary: “Here’s what I’ve captured: [details]. Shall I create this project? Reply YES to confirm, EDIT to change something, or CANCEL.”
  7. Reply YES to create the project
  8. You’ll receive a confirmation message with a link to your web dashboard
  9. The conversation returns to normal mode - you can continue chatting with SupaSherpa about other topics
Multi-Project Dashboard
  1. Visit the Narrative Dashboard (/narrativedashboard) after creating 2 or more projects
  2. See a card grid showing all your projects - 1 column on mobile, 2 on tablet, 3 on desktop
  3. Each card displays: project title, status badge (color-coded), brief confidence percentage, last activity date, intake source icon (web/WhatsApp/email/upload link), and quick actions
  4. Use quick actions: View (open project details), Upload (add more documents), Get Link (generate shareable upload link)
  5. Click + New Project to start another project via Quick-Start
  6. Filter by status: Draft, In Progress, or Completed (completed projects collapse into a separate section)
  7. Search by project title using the search field
  8. Click any project card to open its full dashboard view

3. Common Questions

Q: What happens if I submit a vague idea like “help me with my business”?
A: The AI identifies insufficient specificity (confidence below 40%) and shows you a partial extraction with a prompt: “Tell us a bit more - what kind of help do you need?” You’ll see a follow-up text input rather than a low-quality brief. Add more detail and resubmit.
Q: Can I upload documents at the same time as typing my project description?
A: Yes. When you type a sentence and upload documents together, the document farming results merge with the AI text extraction. Document farming takes precedence for structured fields (budget, timeline), while your typed text takes precedence for narrative fields (description, goal). You’ll see all sources attributed in the confirmation card.
Q: What if someone uses my upload link to send inappropriate files?
A: All uploads pass through file validation and antivirus scanning. Malicious files are quarantined, the upload is rejected with a generic error, and a security event is logged. The uploader sees a simple “We couldn’t process this file” message without technical details.
Q: How long do shareable upload links stay active?
A: Default is 7 days with a maximum of 10 uploads. You can configure expiry from 1-30 days and max uploads from 1-100 when creating the link. Once expired or at max uploads, visitors see a friendly message: “This upload link has expired. Contact the project owner for a new one.”
Q: What happens if I forward multiple emails about the same project in quick succession?
A: The system deduplicates within a 5-minute window. The first email creates the project, and subsequent emails within 5 minutes append as additional documents to the same project (not separate projects). Each email triggers document farming, and you receive one notification when all processing completes.

4. Troubleshooting

Issue: Quick-Start extraction takes longer than 30 seconds or fails
Solution: If the AI extraction service is unavailable, the system falls back to a simplified 3-field form (title, description, goal) with no AI. You can complete these fields manually and submit. Document farming for any uploaded files queues for retry with exponential backoff (3 attempts at 30s/60s/120s intervals). You’ll be notified if there’s a delay.
Issue: Document upload says “We couldn’t read this file”
Solution: This means text extraction failed - usually from scanned images or corrupted files. Try uploading a text-based version of the document (not a scanned image). The file is stored in your data room for manual review even if extraction fails.
Issue: Email forward doesn’t create a project
Solution: Ensure you’re forwarding from your registered email address. If the system can’t match your email to a registered user, you’ll receive a reply: “We don’t recognize this email address. Please register at [link] or forward from your registered email.” This prevents spam and unauthorized project creation.
Issue: WhatsApp intake conversation stops mid-flow
Solution: After 2 hours of inactivity in intake mode, the system saves your partial data as a draft project and sends a message: “I’ve saved your project as a draft. You can continue anytime by saying ‘continue my project’.” Reply with that phrase or re-describe your project to resume. Your conversation context is remembered.
Brief Enhancement - After quick project creation, the platform queues automatic brief enhancement to reach 75% confidence. AI interviews you via your preferred channel (WhatsApp, email, web) to fill missing fields, asking a maximum of 5 targeted questions. You can also enhance briefs manually through the Brief Review page (/briefreview). Data Room - Every project has a data room (Data Room Detail page, /dataroomdetail) where all uploaded documents are organized and processed. Documents uploaded via any intake channel automatically populate the data room, and you can add more files at any time. The Architect feature analyzes your data room to assess readiness and identify gaps. Document Analysis - The Document Analysis page (/documentanalysis) shows detailed extraction results from your uploaded documents. View confidence scores, classified document types (pitch deck, business plan, technical spec), and see which fields were extracted from which documents. Useful for understanding how the AI built your brief.
